Duties

As a ADMINISTRATIVE SUPPORT ASSISTANT (OA) (TITLE 5), GS-0303-7, you will provide a variety of administrative support, technical assistance, and participation in the management of an office by applying a good working knowledge of maintenance and programs.

  • Advise regarding the practical and technical aspects of office administration, to include budgeting, purchasing, supply, personnel, word processing, and file management.
  • Update the office's supply sources, purchases supplies, equipment, and services through open market purchase by blanket agreement, processes and tracks purchase documents.
  • Collect data for the office-operating budget, review submissions for proper format and compliance with budget requirements.
  • Set up controls to monitor expenses during the year and recommend budget adjustments including restructuring budget allocations or work plans to deal with changing situations such as varying costs.
  • Serve as Records Management Coordinator for an organization.
  • Ensure subordinate activities maintain office files in accordance with regulatory and published guidance.
  • Provide instructions to personnel to ensure that the records program is execute properly.
  • Provide for control of classified documents for an organization.
  • Track virtually all financial, personnel, supply, and other administrative transactions as the documentation flows through the office
  • Initiate personnel actions as needed to include performance evaluations, standards, and job announcements.
  • Maintain a register of pending personnel actions and suspense dates.
  • Complete requests for personnel actions; distribute forms and instructions for annual performance ratings, and ensure timely, proper completion of all personnel documents.
  • Accomplish travel arrangements for an office to include travel and hotel reservations, travel orders, and coordinate visits.
  • Serve as the travel account program manager.
  • Prepare and monitor appointment/delegation letters and other additional appointments for all subordinate activities.
  • Maintain an official file of all appointments and make recommendations for changes or deletions based on personnel or policy changes.
  • Prepare and distribute appointments and other duty assignments.
  • Assist in the development of policy letters, which may require researching applicable directive from higher authority.
  • Possess a broad understanding and detailed procedural knowledge of budget, purchasing, personnel, and information processing functions of the office.

Qualifications

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 Level. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement.

SPECIALIZED EXPERIENCE: GS-07 Level - Must possess one year of specialized experience equivalent to at least the next lower grade, GS-06, in the Federal service in the normal line of progression for the occupation, Administrative Support Assistant (OA). Examples of specialized experience would typically include, but are not limited to: performing budgeting, purchasing, supply management, word processing functions, and file management; serving as a Records Management Coordinator for an organization; arranging travel for office personnel to include travel and hotel reservations, travel orders, and coordinating visits; assisting in the development of policy letters; and collecting data for office operating budget. This definition of specialized experience is typical of work performed at the GS-06 grade/level position or equivalent in the federal service.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
