What the position offers:

- Assist with administrative duties in the office including covering the front desk, answering phones, and preparing letters
- Visit each property on a bi-weekly basis. Properties to be grouped geographically. Each visit takes 4-6 hours
- Evaluate the overall cleanliness of the property, quality of work by each service provider, following up with service providers as needed, and identifying any areas of concern at each property (i.e. trash pickup areas cleanliness, exterior lights outages, etc.)
- Maintain a log of each property visit
- Daily communication with the property maintenance supervisor regarding tasks expected to be completed that day, confirmation that the previous day’s tasks were completed, and discussion of any action steps needed based on the property manager’s property visits
- Review of the property maintenance supervisor’s daily time sheets on a weekly basis for accuracy and billing purposes
- Assisting the accounting group with the collection of rent from tenants and maintaining the rent payment schedule as checks are received
- Responsible for following up with tenants in cases of late rent payments or short payments, including preparation of default letters as needed on the 10th day of each month
- Preparation of turnover and rent commencement letters and other industry-standard communications, on an as needed basis, to tenants
- The property manager will have a full understanding of the timing of the rent commencement dates based on conversations with the project manager regarding the delivery date of the spaces to tenants, the lease terms, and with the tenant contacts regarding their opening dates
- The property manager will be each tenant’s first contact point for the landlord. The property manager will reach out to each new tenant once the turnover letters are prepared to establish that relationship going forward. Any issues communicated by the tenant with respect to their particular space or the property will be first brought to the property manager’s attention for review
- With respect to purchased buildings with existing utilities, ensure that all utilities are moved into the respective properties name immediately upon purchase
- With respect to new builds and/or new tenants in existing properties, the property manager will make sure that each utility is set up correctly in the landlord’s name/address, is charged with getting tenant’s accounts moved over in their name and any utility charges paid by tenant to utility company or reimbursements owed to landlord for any charges incurred after the space is turned over to the tenant
- Tracking of all service contracts across the properties, in one central location on the shared system, which should include the terms of the contract with respect to the amount/rate being charged, the beginning and ending dates of the contract, the frequency of service, and days of the week service if applicable
- For any existing service contracts, at a minimum, an annual review should be performed to review the level of service provided by each service provider, and the cost/rate of such service being provided
- Detail oriented
- Able to work at a fast pace
- Knowledge of MS Office
- Able to work with maintenance team, tenants, and executives
- Commercial or residential property management experience is a plus
- Ability to interpret commercial leases is a huge plus
